Executive Secretary

Job Responsibilities

 

1. OBJECTIVE(S)

  • Provide secretarial and administrative support to COO.
  • Provide support to the CEO’s and COO’s office in the areas of consolidation and maintaining MOUs and Service Agreements across the organization, and Special Projects assigned by CEO and/or COO.  

 

2.  ROLES AND RESPONSIBILITIES

  • Coordinate and schedule meetings, appointments and interviews for COO.
  • Prepare and distribute meeting agendas related documents as well as write notes of meetings.
  • Maintain the filing system and records and ensure timely retrieval of such files and records as and when required.
  • Maintain private and confidential files for the CEO’s and COO’s Office.
  • Assist in the organization’s events and projects as and when required.
  • Cover the duties of CEO’s Executive Secretary during his/her absence.
  • Consolidate and maintain depository of MOUs and Service Agreements across the organization.
  • Assist the manager in charge for Business Continuity Planning related work and trainings.
  • Perform any other duties as may be assigned by CEO and/or COO from time to time.

 

 

 

Job Requirements

  • Higher NITEC or ‘A’ Level or Diploma
  • 3 to 5 years of relevant working experience in providing administrative support.
  • Secretarial experience is an advantage. 
  • Proficient in Microsoft Office application.
  • Possess good interpersonal, organizational and communication skills.
