Executive Secretary
Job Responsibilities
1. OBJECTIVE(S)
- Provide secretarial and administrative support to COO.
- Provide support to the CEO’s and COO’s office in the areas of consolidation and maintaining MOUs and Service Agreements across the organization, and Special Projects assigned by CEO and/or COO.
2. ROLES AND RESPONSIBILITIES
- Coordinate and schedule meetings, appointments and interviews for COO.
- Prepare and distribute meeting agendas related documents as well as write notes of meetings.
- Maintain the filing system and records and ensure timely retrieval of such files and records as and when required.
- Maintain private and confidential files for the CEO’s and COO’s Office.
- Assist in the organization’s events and projects as and when required.
- Cover the duties of CEO’s Executive Secretary during his/her absence.
- Consolidate and maintain depository of MOUs and Service Agreements across the organization.
- Assist the manager in charge for Business Continuity Planning related work and trainings.
- Perform any other duties as may be assigned by CEO and/or COO from time to time.
Job Requirements
- Higher NITEC or ‘A’ Level or Diploma
- 3 to 5 years of relevant working experience in providing administrative support.
- Secretarial experience is an advantage.
- Proficient in Microsoft Office application.
- Possess good interpersonal, organizational and communication skills.
