Executive, Clinical Operations
Job Responsibilities
Broad Function
The executive is responsible for managing contracts and clinical services agreements, developing clinical workflows, and coordinating projects.
Responsibilities
1. Administration
- Coordinate the review of new Service Level Agreements (SLA) or Research Collaboration Agreements (RCA) and prepare internal memorandum to seek approval/endorsement from senior management
- Coordinate the review of existing SLA and RCA with internal and external stakeholders to ensure that deliverables are met and renewals are conducted in a timely manner.
- Maintain the database of contracts (e.g SLA, RCA etc) in the Clinical Operations (CO) share folder to ensure the new and renewed contracts are saved and stored in the appropriate folders for ease of retrieval.
- Coordinate the development and review of cross-institution clinical workflows to enable seamless processes for patients and staff.
- Develop and update Policies and Work Instructions (PWIs) to ensure relevance and accuracy.
- Provide secretariat support for meetings involving CO with internal and external stakeholders by booking meeting rooms, facilitating meetings in person/on zoom, writing minutes and ensuring timely circulation to relevant personnel, as well as saving relevant documents in the CO shared folder
2. Statistics
- Prepare data for submission to regulatory institutions (e.g MOH, AIC etc)
- Collect and analyse data, prepare reports/presentation slides and present to internal stakeholders (e.g RCH Management and Board) and external stakeholders (e.g TTSH, NHG)
- Track and report key performance indicators (KPIs) to identify trends and areas of concern to support the review for performance improvement.
- Maintain data documents in the CO shared drive to ensure that they are organized well and password protected where required.
3. Project Management
- Work with partners and clinicians to support the development and implementation of clinical services, programs, and care paths.
- Plan, initiate, coordinate, execute, and closely monitor projects to achieve objectives and goals within a specific timeframe.
- Organize and facilitate meetings with internal and external stakeholders for timely communication and follow up. Ensure meeting minutes are recorded accurately and circulated in a timely manner to relevant stakeholders.
- Manage Community Silver Trust (CST) projects under CO to ensure optimal and timely utilization of funds. Track project key performance indicators (KPIs) for reporting to department head and relevant stakeholders.
4. Others
- Participate in activities that contribute towards process improvement and delivering value to patients/residents/clients.
- Any other duties assigned by reporting officer.
Job Requirements
- Recognised Degree in any hard science discipline
- Relevant work experience in clinical contract management
- Relevant experience in healthcare setting would be an advantage
- Prior experience in project management and statistics preferred
- Possess a good command of the English language, both written and spoken.
- Meticulous and detail oriented.
- Strong analytical skills.
- Able to communicate effectively at all levels with good interpersonal skills.
- Proactive and able to plan, organize, and execute tasks independently.
