Job Responsibilities

  • Sort, file and store patients’ case notes securely for all facilities which include the Community Hospital (CH), Chronic Sick Unit (CSU), Inpatient Hospice Palliative Care Service (IHPCS), and Nursing Homes (NH) of the organisation.
  • Responsible for the retrieval and issuance of Medical Records according to the prescribed policies and procedures.
  • Ensure loaned Medical Records are duly authorised, recorded, signed out and returned to the Medical Records Office within 14 working days.
  • Assist in data collection, collation, and analysis of workload indicators.
  • Responsible for maintaining the Medical Records archive for both active and inactive patients case notes, including developing and maintaining a proper indexing system for the Medical Records.
  • Attend to queries from Finance/ Business Office regarding medical reports.
  • Ensure timely submission of Medishield Life Audit documents to the Ministry of Health (MOH).
  • Facilitate cross learning and coverage of team members during their absence to ensure business continuity and improve overall team productivity.
  • Ensure that the Medical Records Office is kept clean and tidy at all times.
  • Actively participate as a member or team lead in quality improvement projects at the Hospital-wide/ Departmental level.
  • Any other duties as assigned by the Supervisor/ Head of Department.

Job Requirements

  • Minimum GCE O Level
  • At least 2 years of working experience preferably within the healthcare or social care sectors.
  • Prior experience in administrative, library or records management preferred.
  • Meticulous with good clerical skills.
  • Good inter-personal and communication (written and verbal) skills.
  • Able to work well independently and as a team member.
  • Proficient with Microsoft Excel, Word and PowerPoint.
